GP Electronic Ordering System

UHW has successfully implemented a new electronic ordering system for laboratory tests and comprises requests for Clinical Chemistry, Haematology, Auto-Antibodies, Microbiology and Serology. 
The system is fully integrated with GP Practice Management Systems and securely allows GP practices to place orders directly online, which are then seamlessly transmitted to the laboratory system. 

By moving to this electronic system the whole process is streamlined; it reduces paperwork, minimises errors, reduces environmental impact and ensures patient orders are instantly received by the laboratory.

For GP's it means faster turn-around-times, clearer tests selection and enhanced accuracy and efficiency. This all leads to more timely and improved patient care. 

Top Tips for Submitting an Electronic Test Request:

  • Only take the appropriate number of samples as indicated on the order request/online form. Taking extra samples is unnecessary for you and your patient and can cause delays with specimen receipt and processing.
  • If you cannot find the test you require on the online order form please use the "Order Not Listed" option on page 3. You must manually type in the additional tests required.
    NOTE: You must check the lab user manual at www.hse.ie/go/wrhlab for the appropriate specimen type, number of samples and any other sample requirements as these tests as they may be referred out to other sites.

  • If you have just submitted an order (i.e. you still have the patient/patient samples to hand) and realise tests have been omitted (or you wish to add on additional tests) it is advised that you discard the original order and create a completely new order with all the required tests

  • Please note the maximum number of requests that can be submitted on a single order is 15. If more than 15 tests are required please split the requests into a second order. These must be bagged separately. 

  • The lab will continue to accept add on requests via the helpdesk as always through UHW.BloodSciences@hse.ie. Please note this is subject to the samples still being suitable for testing and sufficient volume available.

  • An ‘acknowledged’ message appears immediately once the electronic message is sent waiting to be accepted to the “Healthlink”
    NOTE: This does not mean we have received the samples to the laboratory. Sample Tracking will be available in future developments

  • You must ensure that the barcode on the top right hand side of the form is printed fully and clearly as this is required in order to accept and process the request in the laboratory.

  • Multiple sample types can be sent on one order. DO NOT PHOTOCOPY electronic request forms. 

  • Do not send forms from a historical order the barcode is unique to the individual request

System Downtime:

In the event that the Electronic ordering system is down e.g your practice management system is non-functional, Healthlink is down or some other issue you may revert to using paper request forms.
The laboratory will accept these requests in such circumstances however please do attempt to resolve any issues with the electronic system asap. Should you require assistance please contact Laboratory IT. 

Please note the laboratory no longer supplies paper request forms for Bloodsciences ("Green Forms") via our Supply partner Cruinn Diagnostics
Other request forms are still available but for convenience digital copies of forms are available below. 
Please print these if and when required. Note: you may download a copy for offline use but please ensure the version you have on file is kept up to date.
